I. ROUTINE SCHEDULING OF SUPERVISION FOR THE POLICE SECTOR - PROPOSING A FIELD INSPECTION SCHEDULE

If you have difficulty submitting a proposed schedule for a Field Inspection, you can follow the steps below:

1. Visit https://oss.go.id/, click MASUK.

2. Enter Username And Password, then click the button MASUK.

3. After login, enter the menu PENJADWALAN, and click DAFTAR PELIMPAHAN to continue the process.

4. After accessing the Proposed Schedule menu, the system will display the Supervision Project Delegation List. Select one of the Monitoring Projects, click the mark 'v', and then click USULAN JADWAL. You can also use the search feature to find Monitoring Projects.

5. Check the Business Field data displayed by the system.

6. Fill in Proposed Schedule Data. Click SIMPAN DATA USULAN to save Proposed Schedule Data.

7. The system will display a notification after you process the monitoring project proposal data. If you are sure to continue the Schedule Proposal process, click YA. However, if you want to cancel the Schedule Proposal process, click TIDAK.

If you choose to continue the process of changing the proposed schedule, notification of success in changing the Monitoring project data will appear again. Click OK to return to the delegation of the supervision list page.

8. After successfully adding a proposed schedule, the proposed data will be entered on the Monitoring Schedule Proposal List page with the proposal status "Unprocessed/Belum Diproses". The proposed schedule data will be verified by the OSS system.

9. After verification, the proposal status will change according to the verification results. If the proposal is accepted, the proposal status will change to “Approved/Disetujui”, but if the proposal status is not accepted then the proposal status changes to "Rejected/Ditolak"

II. ROUTINE SCHEDULING OF SUPERVISION FOR THE POLICE SECTOR - MAKING INVITATIONS FOR FIELD INSPECTION SUPERVISION

If you have difficulty sending a Field Inspection Supervision Invitation, you can follow the steps below:

1. Visit https://oss.go.id/, click MASUK.

2. Enter Username And Password, then click the button MASUK.

3. After login, enter the menu PENJADWALAN, and click DAFTAR PELIMPAHAN to continue the process.

4. After accessing the Delegation List menu, the system will display the Oversight Project Delegation List. Select one of the Monitoring Projects, click the mark 'v', and then click UNDANGAN KELUAR. You can also use the search feature to find Monitoring Projects.

5. Check the Business Actor Project Data.

6. Fill in the Invitation Data fields. you can fill in more than one invitation data.

After filling in the invitation, the system will save the results of your filling in the table. If you want to delete invitation data, click the button HAPUS on the invitation data you selected. When finished, click KIRIM UNDANGAN to send invitations. Invitations can be sent no later than 4 days before the Field Inspection is carried out.

7. The system will display a notification after you send the invitation data. If you are sure to continue sending, click YA. However, if you want to cancel, click TIDAK.

If you choose to continue the process of sending the invitation, a successful delivery notification will appear again. Click OK to return to the delegation of the supervision list page.

III. ROUTINE SCHEDULING OF SUPERVISION FOR THE POLICE SECTOR - MAKING A LETTER OF ASSIGNMENT

If you have difficulty creating an Assignment Letter, you can follow the steps below:

1. Visit https://oss.go.id/, click MASUK.

2. Enter Username And Password, then click the button MASUK.

3. After login, enter the menu PENJADWALAN, and click DAFTAR PELIMPAHAN to continue the process.

4. After entering the Delegation List, click the sign "v" on the selected Surveillance Data. click ASSIGN PELAKSANA to add field inspection implementers. Assign Pelaksana Button will be open on D-10 to D-4 before the Field Inspection day takes place and closed before the visit letter to the Business Actor is sent.

5. After that, the system will display a data entry form executors who will participate in Field Inspection. Fill in Supervisory Implementer Profile data.

6. Next, check the Surveillance Aims and Objectives Data which is displayed automatically by the System. Click TAMBAH to store supervisory implementer profile data.

7. After clicking the button TAMBAH (step 6), Executor Profile data will be stored in the Executor List table. You can fill in Data on Field Inspection Executors from more than one implementer. Apart from that, you can also perform the following actions:

NAIKAN URUTAN is used to load a thread on the selected executor profile;
TURUNKAN URUTAN is used to derive one sequence on the selected executor profile;
UBAH is used to change the selected executor profile;
HAPUS is used to delete the selected executor profile.

Next, you can click SIMPAN to store specified executor data.

8. To view the Assignment Letter, you return to the menu List of Delegation of Supervision. Click the sign "v" on Surveillance data and click SURAT TUGAS. The Assignment Letter button will open if the input for the supervisory executor has been carried out. Charging form Assign Pelaksana H-10 s/d H-4 until the Field Inspection date.

The following is a display of the Field Inspection Assignment Letter.

9. You can also see the visit letter that will be distributed to Business Actors. To view the visiting letter, return to the menu List of Delegation of Supervision, click the sign "v" on Field Inspection Data, and Click LIHAT SURAT KUNJUNGAN. The Visit Letter button will open on H-3 of the inspection date field.

The following is a display of the Visit Letter for Field Inspection Implementation which will be sent to Business Actors.

IV. SCHEDULING OF ROUTINE MONITORING FOR THE POLICE SECTOR - FIELD INSPECTION MONITORING ATTENDANCE LIST

If you are having difficulty viewing the attendance list, you can follow the steps below:

1. Visit https://oss.go.id/, click MASUK.

2. Enter Username And Password, then click the button MASUK.

3. After login, enter the menu PENJADWALAN, and click DAFTAR PELIMPAHAN to continue the process.

4. After entering the Tracking page, select monitoring project data and then click the sign "v". Click DAFTAR HADIR to see details of the supervisor.

5. After that, the system will display the Supervisory Attendance List along with the attendance status of implementers and participants. You are required to confirm your attendance at the same time as sending the BAP process first. If you have not confirmed your attendance, the display will be as below. Presence Status remains 'Not Confirmed Attendance/Belum Konfirmasi Kehadiran' and can't use action buttons.

After confirming attendance, the Attendance Status will change to 'PRESENT/HADIR' or 'ABSENT/TIDAK HADIR' by filling in the attendance list during the field inspection. There are two actions you can take, namely changing your email (will be explained in step 6 and resending the email (will be explained in step 7).

6. If you want to change your email, click the button UBAH EMAIL (step 5), then the system will display a pop-up email change. Please enter your new email, then click UBAH EMAIL.

Notes: UBAH EMAIL button can not be used when the QR code signature on the BAP result has appeared (BAP has been signed).

7. If you want to resend the BAP signing link, click the button KIRIM ULANG EMAIL (step 5). The system will display a pop-up that email has been successfully resent.

Resend button email can only be used 3 times. More than that, you will get a pop-up notification that you have used more than required.

V. ROUTINE SCHEDULING OF SUPERVISION FOR THE POLICE SECTOR - COMPLETING SUPERVISION RESULTS AND SIGNING OF INVESTIGATION MINUTES (BAP) BY POLDA

If you have difficulty producing Supervision Results and signing the Investigation Minutes (BAP), you can follow the steps below:

1. Visit https://oss.go.id/, click MASUK.

2. Enter Username And Password, then click the button MASUK.

3. After login, enter the menu PENJADWALAN, and click DAFTAR PELIMPAHAN to continue the process.

4. In Routine Monitoring Data, select monitoring project data then click the sign "v". Click HASIL PENGAWASAN to fill in the results of supervision. When you have filled in the data assigned executor, the Supervision Results button will open on the D day until the end of the BAP input deadline (currently BAP can still be input until the last day of the current year).

5. After that, the system will display a form for filling in the Monitoring Results. Check the Business Actor Profile data that has been displayed by the system first.

6. Fill in the Supervision Results Score is based on the results of Field Inspections on business activities with a value range of 1 to 100 in the Business Licensing Ownership data section. Value Weight (%), OSS System Assessment Score, Total OSS System Assessment, and Total Supervision Result Value will be displayed by the system.

7. Fill in the Values Weight (%) And Supervision Results Score based on the results of supervision based on the criteria that have been determined by the Technical Compliance Assessment with the following explanation:

The weight (%) of all technical compliance assessment criteria is 100% and is completed by the designation of business activities/KBLI by the NSPK for each sector determined by the Managing Ministry/Institution;
The Supervision Results Score is based on the results of Field Inspections on business activities with a value range of 1 to 100.

Temporarily, The value of the supervision results will later be accumulated and displayed in the Total Value of Supervision Results table, total percentage, total, and final total value.

8. You are required to assess Fulfillment of Submission of Periodic Reports based on applicable regulations in accordance with Field Inspection results, which consist of:

Very well;
Good;
Enough;
Not good.

9. Check data on the historical value of sanctions imposed by the system.

10. Fill in the data on problems faced by business actors in carrying out their business activities (if any) and click TAMBAH MASALAH to store problem data. You can save more than one problem. You can also delete problem data by checking the check box/checkbox selected problem data and click HAPUS

11. You can upload documents supporting the implementation of Field Inspections (such as photos of Field Inspection activities and so on) accompanied by the name of the document from which you uploaded it.

12. Fill in Supervisory Supervision Results and the election Recommendations for Supervision Results and add information to the text box listed below. Attached is a selection of Supervision Results recommendations, namely:

Have fulfilled business licensing requirements & fulfilled business activity implementation standards;
Construction;
Repair;
Sanctions.

13. You are required to complete the name of the person in charge at the location of the business activity and the contact person of the person in charge. Make sure the contact The person in charge entered is correct. After that, check the Monitoring Results data that has been completed again and if it is correct, click KIRIM DATA PENGAWASAN to process Supervision Results data. You can also save the Monitoring Results data as a draft with a click SIMPAN SEBAGAI DRAF.

Notes: If the data for the Person Responsible for Field Inspection and the Supervision Data processing have been completed by the Coordinator, the Supervisor does not need to fill it in again because the data to be filled in by the Coordinator will appear automatically.

14. Once you press the button KIRIM DATA PENGAWASAN, the system will display a pop-up Supervision Attendance List. Click the button UBAH EMAIL when you want to change your email. Make sure the email entered is correct because the BAP signing link will be sent to the email. After you have confirmed the suitability of the implementing data on the Supervision Attendance List, in the column Attendance Status, choose HADIR for implementers who attend the Field Inspection.

If during the Field Inspection other agencies are invited, Supervisors can confirm the presence of invited agencies. Meanwhile, confirm attendance Business activities can only be carried out by one party. For example, if confirmation of the Business Actor's presence has been carried out by the Coordinator, the Supervisor does not need to confirm again because the attendance data confirmed by the Coordinator will appear automatically.

If you click the button UBAH EMAIL, the system will display a pop-up email change. Please enter your new file, then click UBAH EMAIL. For change email Entrepreneurs, you can change email on the data for filling in the project person in charge (step 13).

15. The system will display a notification after you save the surveillance data. If you are sure to continue, click YA. However, if you want to cancel, click TIDAK.

If you choose to continue the process, a notification of data saving success will appear again. Click OK to return to the delegation of supervision list page or click CETAKAN to see a printout of the Supervision BAP.

16. For BAP signing, a link will be sent to the email responsible person at the location of business activities and implementing supervision. Check your email and click the link "Klik Di Sini" to process the signing of the BAP electronically.

17. Once you access the link in the email, you will be asked to fill in Captcha according to the words provided and click TAMPILKAN INFORMASI.

After that, information about the success of signing the BAP will appear.

18. Here's a look printout of Supervision Results furnished by the Supervisor.

19. You can scan code QR to display signer data in detail.

20. As of February 15, 2023, the signing of the Audit Minutes (BAP) has been implemented using a digital method or using a QR code, therefore you are not required to upload the BAP data that needs to be signed into the OSS system. If you want to see printed data from the monitoring results, you can click the button HASIL PENGAWASAN as in step 2. After the system displays the completed Monitoring Results form, you can scroll down and see two action buttons that can be used. To view or download a printout of the Monitoring Results, you can click the button CETAKAN.
